Capstone Legacy Plan/Assessments
It’s always better to have a plan of action. When replacing systems, don’t assume the new vendor is going to do it for you when it comes to your legacy data. MindsEye Tech can help. In most cases a high level phone conference assessment is all you need and that’s free.
The goal of the assessment is to determine the options you have for your
legacy data.
In a new system implementation environment, the
incoming vendor often dictates the financial and clinical data they will
allow to be migrated into thier system. Most often the scope and range of
data types permissable is very limited. For data that can be migrated,
we can help with this work effort.
If you have already gone “Live” with a new system, then
you already know that most all of your data remains on the legacy system.
Legacy data retention varies, but typically we see a 7-10 year retention
requirement for financial data and 10-25 years for clinical data. You can
hardly plan to keep the old hardware alive for the required timeframes
without a substantial reinvestment from time to time. Combine these costs
with vendor support fees and you quickly see the need for a plan
that will meet your retention requirements at an affordable price.
The following items describe the scope of a typical legacy data plan consulting portion for a single site or a multi-site / multi-subsystem data archive/repository project that might be required in an EPIC, Cerner, MEDITECH, Soarian or McKesson rollout scenario:
- Schedule and meet with departments and IT at each site requiring an archive in order to establish and set the goals
- Review process and final results with all essential personnel. (What is an archive? What is a repository? Why is it needed? How will it be used?)
- Review, identify and prioritize systems / data to be archived for each department within each location. This will lead to an overall project plan for each hospital, as well as each subsystem within each hospital and/or practice.
- Categorize data as critical, need to have, nice to have. Categorization will be done based on department requirements, hospital requirements, legal requirements, etc.
- Identify and determine the following information for each subsystem within each site in order to be able to come up with a detailed proposal for the overall work effort:
- Database size
- Table count
- Supplemental file sizes (i.e. scanned documents)
- Supplemental data types
- Total Users accessing the system
- Simultaneous Users accessing the system
- Average number of queries
- Screen Dumps
- Assist each hospital with their review and assessment of data extraction options. These options may include being able to copy the entire database if in SQL Server format, being able to extract individual tables in a human readable format (e.g. Tab Delimited ASCII format), or as a last resort, being able to identify a series of either ad-hoc or standard reports that can be redirected to a file and does contain the necessary information needed for the archive/repository.
- Identify the extraction resource and coordinate.
- Identify all available documentation for each system being assessed. This includes, but is not limited to, database / file structure documents.
